What is required?

Vacancy

As Front Office Supervisor at DoubleTree by Hilton Amsterdam Centraal Station you will be responsible for providing guests with a comfortable stay. You will not only support your colleagues at the front desk, but will also be responsible for a variety of coordinating, controlling and administrative tasks. Besides this you are the contact person for both guests and colleagues. During your shift, you'll be responsible for a variety of tasks, including checking reservations and supervising the front desk's work flow. You have an important role in the check-in and out procedure: you make sure that this is done smoothly and quickly and you assist when needed.

You will also be responsible for handling online reviews and assisting guests with special questions or requests via email or telephone. You will work as part of the Front Office team, which consists of Front Office Agents (behind the front desk), Duty Managers (who focus on VIP guests) and three other Front Office Supervisors. You will also work closely with Guest Service: they take care of luggage and share information about activities guests can do in Amsterdam. Besides that you are in close contact with Housekeeping and prepare morning reports for them, so they know in which room an extra crib is needed and where the VIP guests will be staying. You will have close contact with other departments as well, since you will always know what guests have requested and what is needed, for example during breakfast or in their rooms.

The number of colleagues you work with varies per shift. The shifts are as follows, a day shift (7 AM - 3 PM), evening shift (3 PM - 11 PM) or night shift (11 PM - 7 AM). Together with your team you ensure that guests have a pleasant stay in one of the 557 rooms of the hotel.

During a great day, I interact with guests and advise them on things to do in Amsterdam. Besides that, I can assist guests who have questions or requests pretty well.

On a day that not everything runs smoothly, several guests have a problem with their hotel rooms. Besides, the reservation system is undergoing an update, so we are temporarily unable to check guests in and out.

Firsthand experience

A guest is checking in and states they booked breakfast with us, but you can not find this in the system. How do you solve this?

You first ask if the guest has a confirmation of the breakfast reservation, for example a confirmation mail. You need this to proceed with the process. The guest does indeed have a confirmation email, which you review critically. The confirmation may say that guests can 'add breakfast for xx euros', and the guest has interpreted this as 'breakfast is included'. In this instance, the confirmation email clearly states that breakfast has been added, and this was probably not processed properly in the system due to a technical reason. You immediately apologize to the guest and contact the breakfast department to inform them about the extra reservation. You communicate this back to the guest and thank him kindly for providing us with his feedback.
