Vacancy

As a Customer Service Executive, you serve as the contact person for customers of Wilmar that want to purchase Oleo Chemicals. From the moment the customer has purchased products, you maintain contact with the customer. You ensure that orders are booked and processed and that customers receive their products on time. If something goes wrong, you try to solve the problem for the customer.

Within this role, you are not responsible for executive tasks, such as booking transportations and invoicing the customer. It is mainly about maintaining and optimizing customer contact. You work directly with the Commercial and Logistics Departments.

Working week

Customer Service Lead
Ellen Vriens

I like days on which there’s a lot of variation and I can solve problems for customers. Then, I go home feeling great, knowing that I’ve really been able to help customers.

On less pleasant days, a lot of things go wrong, and you can do little to fix them. In these cases, you need to approach customers to explain that we can’t produce what they want, for example.

Firsthand experience

One of Wilmar’s large customers has booked 100 tons of product in July. It is August now, and 75 tons are still open. What to do?

First of all, it’s important to internally discuss with the person responsible in the Commercial Department whether any agreements have been made that you do not know of. It is possible that part of the information has not yet been transferred to the Customer Service Department. After that, you will talk to the customer to find out what their production schedule looks like. You are in contact with the company’s contact person. This may not proceed smoothly, as the latter may not be familiar with the exact goings-on there. Therefore, it is useful to know whom you should talk to about different issues when dealing with a customer.

Subsequently, you can create an overview of the contract and product purchase in Excel, which you can send to the customer, asking if they can let you know when they will purchase the remaining volumes.

You need to keep track of what a customer purchases and if they do so in a timely manner in connection with the planning of products that must be produced or ordered. We are flexible in this regard, but it should be kept up to date. In any case, it is essential that you always take action, because doing nothing or doing something without consultation is unwise.

Growth

After a few years, you could grow into the position of Customer Service Lead. It’s also possible to move on to the Operations Department from this position to start working as an Operations Executive.
